Effective communication in an organization is crucial. For once, it affects productivity at work and could also determine brand popularity where customers are involved. In this case, any modern business should seek to invest in workplace communication training to help improve the level of interaction among workers or between employees and clients. Besides, there is need for clear guidelines on how information is handled within the organization.

Probably the basic but not less important is email etiquette. On employment, every staff is given a work e-mail address. This address is given to allow the employee do their duties effectively. However, not many companies train their staff on how to use this tool as they should. This has resulted to misuse of work email addresses. To avoid this, it is important for employers to outline clearly the purpose of using this mode of communication.

All emails whether to employees or clients should be written professionally. Workers need to use professional language and make sure the information communicated is clear. Write clear subjects that are relevant to the professional receiving this message. Such emails will receive relevant response from the recipient. Otherwise, one can get distracted by wrong emails or improper language used in an email thus affecting their productivity at work.

For those writing emails to people outside the organization, let your address have proper details that include your work contacts and company logo. The recipient will use such to contact you if necessary. Besides, use of company logo and other details in your signature could help strengthen your brand.

If there is a message for the public, businesses need to have specific people doing it. A good idea is to have a corporate affairs department handling messages to the outside world on behalf of the company. This will help maintain a good image for the company. Having just any staff talking to the outside about important information could raise credibility issues or cause confusion even among workers.

Another important tool in the office is the telephone. This could also be misused if employees are not trained properly. Some do not practise telephone etiquette, while others leave their unattended to. This is wrong. With the current growth in technology, one can always set their work telephones to leave appropriate instructions for those calling when the recipient is not near the phone. Such will also record details of callers and the owner can call back for follow-up. This is better than acting like you just ignored the call.

Any successful company today would embrace responsive culture. People are looking for effective and timely solutions to their needs. Only a business that can offer such to its clients will survive the competition in the market today. Make use of technology to meet your customer needs any time of the day. Always offer the right assistance with telephones even when the call was not directed to you.

Face to face communication among staff members must be maintained at professional standards. Rude and inappropriate language must never be allowed at the workplace. The best way to do this is to have a detailed employee code of conduct which all employees must adhere to without compromise.
